Who we are
Birth Boss Society is operated by Hip to Heart LLC ("Birth Boss Society," "we," "us," or "our"), located at 25 Messenger Street, Plainville, MA 02762. We provide education, training, coaching, community, and live events for doulas, perinatal professionals, and doula agency owners.
This Privacy Policy explains what personal information we collect through birthbosssociety.com and our related programs, community, and events; how we use it; who we share it with; and the choices and rights you have. If you have questions, write to us at [email protected].

What this policy covers
This policy applies to birthbosssociety.com, our member community, our courses and trainings, our email communications, our checkout and payment flows, and our in-person and virtual events.
It does not cover the practices of third-party platforms we use to deliver those services. Each of those companies has its own privacy policy governing how it handles your information. The main ones are listed later in this policy.

Information you give us
- Contact and account information β name, email address, phone number, mailing address, business name, and the login credentials you create.
- Purchase information β what you bought, when, at what price, your billing address, and your payment history. We do not receive or store your full card number; that goes directly to our payment processor.
- Professional and business information β the details you share in applications, intake forms, coaching questionnaires, and strategy session bookings, which may include your years in practice, credentials, service area, revenue range, team size, and business goals.
- Community content β your profile, posts, comments, replies, direct messages, and any files or photos you upload to the member community.
- Event information β registration details for the CEO Summit and other events, including dietary needs, accessibility requests, and emergency contact information where we ask for it.
- Communications β emails, support tickets, survey responses, and messages you send us.

A note about sensitive information
Some of what you tell us in an application or a coaching session is genuinely sensitive β revenue figures, business struggles, health-adjacent context about your own practice. We ask that you do not submit information about your clients or their families through our forms or in the community. Please keep client identities out of it.

Information we collect automatically
When you visit our site or open our emails, we and our analytics partners automatically collect:
- IP address, approximate location derived from it, device type, operating system, and browser
- Pages viewed, links clicked, time on page, referring URL, and the search terms that brought you to us
- Course and video progress, lesson completions, and login timestamps
- Email opens, clicks, and delivery status
This is collected through cookies, pixels, tags, and similar technologies. Our Cookie Policy explains these in detail and tells you how to control them.

Information from other sources
- Payment processor β confirmation that a payment succeeded or failed, the last four digits of your card, and the card brand.
- Affiliates and partners β if you came to us through an affiliate link, we receive the referral information needed to credit that affiliate.
- Certifying bodies β where you enroll in a certification training, we may exchange enrollment and completion information with the certifying organization so your credential can be issued.

- To deliver what you purchased β course access, community membership, coaching, training seats, and event attendance
- To process payments, manage recurring billing, issue refunds, and prevent fraud and chargebacks
- To communicate with you about your account, your purchases, renewals, and schedule changes

- To personalize what we show you β recommending the program that fits where you actually are in your business
- To run, moderate, and keep the member community safe
- To measure and improve our website, funnels, content, and offers
- To administer our affiliate program and pay commissions
- To meet legal, tax, accounting, and recordkeeping obligations, and to enforce our terms

Others
- Other members β anything you post publicly in the community is visible to other members and may be quoted or screenshotted by them. Treat the community as semi-public.
- Certifying and accrediting bodies β where required to award your credential or continuing education units.
- Affiliates β we tell an affiliate that a referral converted. We do not give affiliates your contact information.
- Professional advisors β our accountants, attorneys, and insurers, under confidentiality obligations.
- Legal and safety β where required by law, subpoena, or valid government request, or where we believe in good faith it is necessary to protect the rights, property, or safety of Birth Boss Society, our members, or the public.
- Business transfers β if all or part of our business is reorganized, sold, merged, or transferred, your information may be among the assets transferred. We will provide notice before your information becomes subject to a different privacy policy.

Advertising
We do not currently run advertising campaigns and we do not share your personal information for targeted advertising. We use Google Analytics to understand how people find and use our website. You can opt out of analytics through our cookie banner, through Google's browser opt-out add-on, or by sending a Global Privacy Control signal from your browser, which we honor.
If we begin advertising in the future, we will update this policy before we start.

Your privacy rights
Depending on where you live, you may have some or all of the following rights. We extend these rights to every visitor, regardless of state, because maintaining separate processes by geography is a good way to get it wrong.
- Know and access β request a copy of the personal information we hold about you and how we use it
- Correct β ask us to fix information that is inaccurate
- Delete β ask us to delete your personal information
- Portability β receive your information in a portable, machine-readable format
- Opt out β of targeted advertising, of any sale or sharing, and of profiling that produces legal or similarly significant effects
- Limit sensitive information β restrict our use of sensitive personal information to what is necessary to deliver the service
- Withdraw consent β where we rely on your consent, withdraw it at any time
- Non-discrimination β we will not deny you service, charge you a different price, or give you a lower quality of service for exercising any of these rights
- Appeal β if we decline your request, you may appeal by replying to our decision. We will respond to appeals in writing.

How to exercise your rights
Email [email protected] with your request and the email address associated with your account. We will verify your identity before acting β typically by confirming you control that email address, and for sensitive requests by asking you to confirm details we already hold.
We respond within 45 days and will tell you if we need up to 45 more. An authorized agent may submit a request on your behalf with written permission from you, which we may ask to verify directly with you.
Some information we must keep: completed transaction records, tax and accounting records, and information needed to resolve disputes or enforce agreements. Deleting your account does not delete these, and it does not remove posts you made in the community, which may remain visible.

Email and text messages
Every marketing email we send includes an unsubscribe link and our physical mailing address. Unsubscribing stops marketing email; it does not stop transactional messages about an active purchase, a course you are enrolled in, or your billing.
If we send text messages, we do so only where you have given separate, express written consent by checking a box specifically for text messages β never as a condition of purchase, and never bundled into a general opt-in. Reply STOP to any message to opt out. Message and data rates may apply.

How long we keep your information
- Account and course records β for as long as your account is active, and then for three years, so you can return without losing your progress
- Transaction and tax records β seven years, as required for accounting and tax purposes
- Marketing contacts β until you unsubscribe, and then a suppression record indefinitely so we do not email you again by mistake
- Community content β for as long as the community operates, unless you ask us to remove specific posts
- Analytics data β per the retention settings of each platform, generally 14 months or less

How we protect your information
We use encryption in transit, access controls, multi-factor authentication on administrative accounts, and vendor selection standards to protect your information. We maintain a written information security program covering how we handle personal information, and we review it periodically.
No system is perfectly secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any required regulators as the law requires.

Children
Our services are built for working professionals and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a minor has given us information, contact [email protected] and we will delete it.

Visitors outside the United States
We operate in the United States and your information is processed here. If you access our services from outside the U.S., you understand that your information will be transferred to and processed in the U.S., where privacy laws differ from those in your country.Β
If you are in the United Kingdom or the European Economic Area, we process your information on the basis of performing our contract with you, your consent, our legitimate interests in operating and marketing our business, and compliance with legal obligations. You have the right to lodge a complaint with your local supervisory authority.

Our site links to other websites, including affiliate partners, certifying bodies, and tools we recommend. We do not control those sites and are not responsible for their privacy practices. Read their policies.

Changes to this policy
We may update this policy. When we do, we will change the "Last updated" date above. If the changes are material β for example, a new category of data collection or a new way of sharing β we will notify you by email or a prominent notice on the site before the change takes effect.
